We use Cliniko, a third-party practice management software, to facilitate online bookings, manage patient records, schedule appointments, issue invoices, and process payments. Cancellation Policy

Appointment Cancellation and Missed Appointments


5.1 Notice Requirement


You agree to provide at least 24 hours' notice if you are unable to attend a booked appointment, wherever possible. This allows us to offer the appointment slot to other clients.


5.2 Late Cancellations and No-Shows


If you do not attend an appointment or cancel with less than 24 hours' notice, you agree to the following:


5.2.1 Cancellation or Missed Appointment Fee

You will be liable for a cancellation or missed appointment fee of 100% of the appointment fee. This fee will be applied to your account and an invoice for this fee will be sent to you, payable within 7 days.


5.2.2 Impact on Funded or Referred Patients

For patients who are funded or referred the funding or referring party may be advised of the cancelled or missed session. This could potentially affect the continuation of your treatment or funding.


5.3 No-Show Definition and Fee


A "no-show" occurs when you fail to attend a scheduled appointment without providing prior notice as specified in section 5.1. If you do not attend your appointment and fail to provide adequate notice, you will be charged a no-show fee of 100% of the appointment fee. This fee will be applied to your account and an invoice for this fee will be sent to you, payable within 7 days.


5.4 Short-Notice Bookings


For appointments booked with less than 24 hours' notice, the notice requirements outlined in sections 5.1 and 5.2 do not apply. However, you should provide notice of cancellation as soon as possible if you need to cancel or reschedule.


5.5 Late Arrivals


If you are running late for your appointment, we will do our best to accommodate you within the remaining time of your scheduled session. However, please note that the session will still end at the originally scheduled time to avoid disruptions to other clients' appointments. Full payment for the session is required, regardless of how much time remains.


5.6 Refunds


5.6.1 Refund Policy

If you cancel your appointment with more than 24 hours' notice, you will receive a full refund, equivalent to the total cost of the appointment. The refund will be processed to the original payment method used at the time of booking.


5.6.2 Refund Policy

If you have been charged a cancellation or no-show fee, it is non-refundable. In exceptional circumstances, at our discretion, we may offer a refund or waiver of fees.


5.7 Exceptions

Client Responsibilities and Consent

6.1 Initial Assessment Forms


Before your initial assessment, you will be emailed forms to complete. It is your responsibility to provide all requested details accurately and comprehensively. Failure to disclose relevant information may adversely affect your treatment. By accepting and signing our Terms and Conditions, you confirm that all information provided in the forms is correct and consent to receive treatment at The LBPC.


6.2 Consent for Additional Forms


You give your consent to your physiotherapist to complete any additional forms on your behalf that may be required during a treatment session. By accepting and signing our Terms and Conditions, you confirm that the verbal information you provide during sessions is accurate and true.


6.3 Access to Clinical Treatment Notes


You have the right to request a copy of your clinical treatment notes. To do so, please contact us directly.


6.4 Administration Charge for Access to Notes


Please be aware that there may be an administration charge for providing copies of your clinical treatment notes. This fee will be communicated to you prior to processing your request.

Payments

7.1 Payment Methods


We offer a range of payment options for our services. Payments can be made using the following methods:


7.1.1 Online Payments:For new patients booking online, full payment is required at the

time of booking. Payments are processed securely via Stripe on the Cliniko booking page. By making a payment through Stripe, you agree to comply with Stripe's Terms and Conditions.


7.1.2 Follow-Up Appointments:For follow-up appointments, the following payment options are available:


7.1.2.1 Invoice: An invoice will be sent after your session, including our business' BACS details and a hyperlink to pay via Stripe if preferred. Invoices must be paid within 7 days of receipt.


7.1.2.2 Card Payment: Payment by card at the end of your session is preferred. We accept all cards compatible with Zettle by Paypal. For more information, refer to Zettle by Paypal 's Accepted Payment Methods.


7.1.2.3 Cash Payment: We accept cash payments at the clinic.


7.2 Authorisation and Accuracy


By providing your payment details, you confirm that the information is accurate, you are authorised to use the payment method, and that sufficient funds are available. If any issues arise with your payment, we will contact you to resolve the matter.


7.3 Payment Processing


Payments made via our online booking system (Cliniko) are processed through Stripe, a third-party payment provider. We are not responsible for any errors or issues arising from the payment processing service, but we will assist in resolving any problems wherever possible. 7.4 Invoices


For patients opting to pay via invoice, payment must be made within 7 days of the invoice date. Failure to pay within this timeframe may result in additional fees or suspension of future services until the balance is settled.


7.5 Payment Disputes


If you experience any issues or disputes regarding a payment, please contact us as soon as possible. We will investigate the matter and work towards a resolution. Disputes related to third-party payment providers (e.g., Stripe or iZettle) may need to be handled with those providers directly.


7.6 Refunds

Insurance-Covered Treatment

At The LBPC, we accept private medical insurance as payment for physiotherapy services. We strive to ensure that your experience is as smooth as possible by working closely with a range of health insurance providers. Below are the details and responsibilities associated with using your insurance for treatment at our centre.


8.1 Confirming Insurance Coverage


8.1.1 Coverage Confirmation: Prior to booking an appointment, you must contact your insurance provider to confirm that physiotherapy services are covered under your policy.


8.1.2 Referral Requirement: Some insurance policies may require a referral from a general practitioner (GP) or specialist. You are responsible for obtaining this referral before your appointment, if required. Referrals can be obtained through the NHS or a private GP.


8.2 Booking Your Appointment


8.2.1 Required Information: When booking an appointment covered by insurance, you must provide the following information:


  • Name of your insurance provider

  • Policy number

  • Authorisation code (separate codes may be required for different body parts being treated)

  • Number of approved sessions or total allowance for physiotherapy under your policy

  • Any excess payment amount and details of who it should be paid to


8.2.2 Failure to provide these details may result in delays or complications with your claim.


8.3 Insurance Coverage and Claim Information


8.3.1 Clinic Codes: If you are insured with BUPA, you will need to provide the clinic code, which can be obtained from our reception or directly from your insurance provider. For other insurers like AXA, AVIVA, WPA, or Healix, please contact our reception team at 01209 696353 or email us at info@ladybasset.co.uk for the necessary physiotherapist registration numbers.


8.3.2 Accreditation: Even if we are not registered with your specific insurance provider, you may still self-pay for your treatment and claim reimbursement later. All of our physiotherapists are registered with the Health and Care Professions Council (HCPC) and are members of the Chartered Society of Physiotherapists (CSP), which qualifies you for most reimbursement policies.


8.4 Understanding Your Insurance Policy


8.4.1 Excess Payments: Most policies include an outpatient excess, which typically ranges from £100 to £150. This is the amount you are required to pay before your insurer contributes to your treatment costs. We will invoice you directly for any excess payments once we have been informed by your insurer.


8.4.2 Treatment Limits: Your insurance policy may limit the number of physiotherapy sessions or types of services that are covered. It is your responsibility to familiarise yourself with these limitations to avoid any unexpected costs. Please confirm these details with your insurance provider before commencing treatment.


8.5 Billing and Payment Responsibilities


8.5.1 Invoicing: We will invoice your insurance company within 24 hours of your last appointment. However, please note that payment processing by insurers may take several weeks.


8.5.2 Policyholder Responsibility: As the policyholder, you are responsible for:


  • Any excess payments not covered by your insurer.

  • Any shortfalls in coverage (e.g., due to policy limits, exclusions, or out-of-network charges).

  • Providing correct authorisation details and keeping track of the number of approved sessions.

Payments for any treatments that exceed your insurance coverage limits.


8.5.3 Failure to comply with these terms may result in you being liable for the full cost of the treatment.


8.6 Liability


8.6.1 No Liability for Reimbursement Delays: We are not responsible for any delays in reimbursement from your insurer or denied claims. You must ensure that all necessary documentation and authorisation is in place and correct before commencing treatment.


8.6.2 Non-Covered Treatments: Any treatments or services that are not covered by your insurance must be paid for directly by you at the time of service.

Healthcare Cash Plans

9.1 Healthcare Cash Plans


At The LBPC, we aim to make quality healthcare more accessible and affordable. If you're covered by a healthcare cash plan, you can use it to help manage the cost of your physiotherapy treatments.


9.1.2 Accepted Plans: We accept a range of healthcare cash plans. Please consult with us to confirm whether your plan is eligible.


9.2 Payment Process


When attending a session covered by a healthcare cash plan, you will be required to pay for your physiotherapy treatment upfront. After your appointment, we will provide you with an itemised receipt, which you can then submit to your cash plan provider for reimbursement. Reimbursement is subject to the terms and conditions, limits, and coverage of your specific plan.


9.3 Important Considerations for Healthcare Cash Plans


9.3.1 Plan Limits: Each healthcare cash plan has specific limits on how much you can claim annually for physiotherapy and other healthcare services. It is your responsibility to review your plan documents or contact your provider to understand your coverage, including any annual limits.


9.3.2 Dependent Coverage: Some healthcare cash plans offer coverage for partners or dependents. Please check your policy details to understand who is covered under your plan and under what conditions.


9.3.3 Claim Process: You are responsible for familiarising yourself with your healthcare cash plan’s claim process. This may include required documentation (such as itemised receipts provided by us) and specific timelines for submitting your claim. Failure to meet your provider’s requirements could result in denied claims.


9.3.4 Provider Inquiries: If you are unsure how your healthcare cash plan works or have questions about making a claim, we recommend contacting your provider directly for clarification prior to booking an appointment.


9.4 Non-Covered Treatments


Any treatments or services that are not covered by your healthcare cash plan must be paid for directly by you at the time of service. You will be responsible for any costs associated with treatments that exceed the limits or exclusions of your plan.


9.5 Liability


We are not liable for any refused or delayed reimbursements by your healthcare cash plan provider. It is your responsibility to ensure that you meet the terms and conditions set by your provider for reimbursement.
